Monday, April 13, 2009

The regular monthly meeting of the Hickory County Library Board was held April 13, 2009 at 10:00am in the Hickory County Library Community Room, at the Hickory County Library, 99 New Hermitage Drive, Hermitage, Missouri, 65668.

President Doris Frye called the meeting to order at 9:00am.

The following persons were present:

Doris Frye, President

Hal Geltmacher, Vice-President

Gerda Fitts, Treasurer

Eva Fae Cooper, Trustee

Sharon Barrett, Secretary

Stacy Coulsell, Library Administrator

Attendance was taken via expense voucher.

A motion to approve the agenda was made by Hal Geltmacher, seconded by Gerda Fitts, all in favor and the motion carried unanimously

The minutes from the March 9, 2009 meeting were reviewed, after reviewing the minutes, and having no corrections to be made, Gerda Fitts made the motion to accept the minutes as presented, Eva Cooper seconded, and the motion carried unanimously.

Library Administrator Stacy Coulsell gave her Administrator’s Report.  In her report she reported that the Story Hour continued with the Preschool and Head Start groups.  She noted that the Library had received the Equalization funds from the Missouri State Library.  She noted that she had replaced the Library’s computer router with a new one supplied by MORE.net, the Library’s internet provider.  Coulsell also noted that the Library had been complimented in the April 8, 2009 edition of the Index-Letter to the Editor.  She reported that the Library was host to a Vintage Rodeo Photography display made possible from a grant and partnership with the Hickory County Community Improvement Coalition.  She also noted that later on in the morning, the Library would have a special performance by Judy Coder a Cowgirl Yodeler/Professional Storyteller and again at different venues in the area, this was also due in part to the aforementioned grant. 

Administrator Coulsell presented the Financial Report for the Library, the balance as of March 9, 2009 was $138.260.11.   This balance is the total of both of the Library’s accounts.  Administrator Coulsell also presented the Board with the Annual Report for the fiscal year of 2008 and the First Quarter Report for 2009.  After hearing the Financial Report Sharon Barrett made the motion to accept the Library’s Financial Report as given.   Gerda Fitts seconded the motion, all in favor and the motion carried unanimously.

Coulsell presented the Library’s Circulation Report for the month of February.  There were 32 new cards
 issued and Total Circulation for the month
of March was 4793.

 Under President’s Report—there was nothing to report.

Under Association Report—none.

Under Friends Report, Administrator Coulsell reported that the special programming would be before the Friends regular meeting.

Under Old Business—the Board discussed the use of this year’s Equalization funds, there was discussion of placing a bid for having the Library re-carpeted. Gerda Fitts made the motion to place an ad in the Index calling for bids on re-carpeting the Library, Hal Geltmacher seconded, all in favor, and the motion carried unanimously.  There was also discussion of purchasing additional shelving for the Children’s Area.

Under New Business—The Board discussed groups and organizations meeting in the Library’s Community Room.  In compliance with the American Library Association policy, the Hickory County Library is open to any group or organization to meet during the Library’s normal business hours as long as the meetings are not for commercial use.    The Board also discussed Library cards and that now once registered with the Library, the card never expires.

Hearing no public comment and having no further business to discuss, the meeting adjourned at 9:55am.

The next meeting will be May 11, 2009 at 9:00am
